How Long Does It Really Take To … (insert task here)

Have you ever noticed?

We either dread what we don’t need to dread,

or

feel rushed when tasks take longer than expected?

How long does it really take to balance your checkbook?  (If you even do that anymore?)  How long does it really take to unload the dishwasher?  Get your oil changed?  Drop off that return item at the post office?  Get a hair cut? Call the doctor?  Come on… be honest…

Not very long, right?  Sometimes the tasks we dread or just don’t feel like doing get INFLATED in our mind, and we assume these dreaded tasks are going to take FOREVER to complete and so we never get around to completing them.  When we finally DO complete these tasks, we realize that they take no time at all.  We spend far more time dreading some tasks than we do completing them.

On the other hand,

We assume the trip to the grocery will only take 20 minutes (which NEVER happens), or that the “quick chat” with a co-worker, or the trip to your friend’s house or favorite restaurant takes no time at all even though you ALWAYS talk longer than you thought, or get stuck in traffic and it ALWAYS takes longer than you think.  Or we forget that going to the grocery also entails carving out 30 minutes when we get home to put everything away and then make a snack.

Let me introduce the idea of Realistic Time  Estimates.  Answer for yourself the question “How Long Does This Task Take?” and stick with that!  Once you realize how long tasks actually take, you will worry and procrastinate less while getting more done!

For example, I used to dread balancing my business’s books at the end of  every month.  I worried it would take hours so I would procrastinate and let my paperwork build up for a month or two.  Ridiculous, I know.  I realized I was self- sabotaging. One month, I spent a couple extra hours and cleaned up my banking and bookkeeping.  I moved everything to Quicken, set my statements  to download automatically from my bank (10 minutes once a month), loaded client info into Paypal to make invoicing easier (10 minutes a month), and streamlined the process for myself.  Now my bookkeeping takes care of itself, I get paid on time and I don’t dread these tasks!

On the other side, I also started setting an alarm in the morning so I didn’t get sidetracked by a pleasant chat with a fellow school parent that could go on too long.

Where else do we need Realistic Time Estimates?  What other time estimates do we skew?  How long will it really take to

  • Get ready for work?  For school? To go out? Drive our usual commute?  And is it ever perfectly smooth?
  • Get dinner on the table?
  • Get the teenager out of bed and functional?
  • Pick up Take-Out?
  • Write my blog article and newsletter this week?
  • Write up that weekly or monthly report?
  • Process our notes and act on our action items from our staff meeting?

This week and this month, take a look at how long your usual tasks ACTUALLY TAKE and determine Realistic Time Estimates.

Set a timer! Set an alarm!  Look around and seek out the tasks you dread for no reason, or the tasks you underestimate and always run over!   Take the steps to create awareness, and adjust your thinking to get your work done!

What To Do this Monday for “Clean Off Your Computer Day”

The Second Monday in February is “Clean Off Your Computer Day”, designated by savvy IT people to clean old files off your computer – Embrace it!

If you’re thinking – “but Coll, I have unlimited storage capacity in the cloud, etc.” – I know.  And you’re right.  But unlimited capacity doesn’t mean you have to keep EVERYTHING,  and you should still organize what you have so you can find things again!

Here are my suggestions:

  1. Grab a note book, or open a new document in Evernote or Google docs.  These types of projects generate a lot of To-Do items!
  2. Clean up your actual computer:
    1. Turn off and unplug (if possible) everything.
    2. Locate and wipe off your computer’s fan(s).  My IT guy says this very important step is often neglected, and skipping it can hamper computer performance.  Keep your computer area de-cluttered to maintain good airflow.
    3. Grab your can of compressed air, and blow out your keyboard.  It’s amazing (and disgusting) what lands in there.
    4. Since everything is turned OFF, with an ALMOST DRY antibacterial wipe, wipe down your keyboard and mouse. I said ALMOST DRY, so if you do this wrong and screw up your electronics, I have 100’s of witnesses who read “ALMOST DRY” and who know I am not responsible.  Let everything dry completely.
    5. With a DRY and clean microfiber cloth, wipe off your screen.
    6. Since the compressed air is going to blow stuff around, use a slightly wetter wipe and wipe
      down your work area.  It’s typically a very germy place.
  3. I often get asked:  HOW DO I WIPE AN OLD COMPUTER SO I CAN RECYCLE IT?
    1. Every computer is different, so run a google search on “How do I remove the hard drive from xxxxxxxxxxx (brand and type of computer)”.  You will receive an instant answer involving a screwdriver and about 20 minutes of your time, and perhaps even links to you-tube videos to walk you through the process.
    2. Once the hard drive is removed, google E-Waste recycling in your area and get rid of the old computers, monitors and printers.
  4. Storage:  Back up, back up, back up.  External hard drive, cloud or both, take your pick. JUST BACK UP!
  5. Manage Your Memory Better:
    1. Operating systems are clever with their search capabilities, but you can still save time by setting up your system better now to find things later.
    2. When you search for something, sort documents in your hard drive in reverse chronological order, all the time.  Click on the “Date modified” column on your Documents Library page until your most recently used documents are listed at the top.
    3. DO NOT just have one large folder with everything in it.  Just thinking about that idea makes me cringe.  A single cluttered directory makes finding anything very frustrating.
    4. Use Naming Conventions and sub-directories when you save your folders and documents.  For example, my business sub-directory contains a folder called “Presentations”.  Within that folder, I have sub-folders for each type of presentation I give (so, Time Management, Kitchen and Menu Planning, Paper Management, etc.).  Within those folders, I have the actual presentation notes, but also the Handouts associated with the presentation, all starting with HO plus the presentation name, so I know which is which.  I use similar rules for naming other things, too, to quickly find files when I need them.
    5. My IT guy saves his documents first to large folders per Application.  For example, he has both a C:Excel and C:Word folder.  He suggests this strategy helps him find things faster.  Within those very broad “type” names, he then breaks down his files into categories.

Clearing computer clutter will help you save time and focus more clearly.  What will your clean-out your-computer day activity look like?

The Unexpected Benefit From Email Problems!

Did you know?  It’s “National Clean Out Your InBox” Week.

An interesting phenomenon occurred a year ago.

I had a handful of tech issues.  My website was down for a few days, and in getting it back up and functioning, my email then disappeared for a few days (Heres’ a shout out for my web guru at Amplify7 who saved me!).

It was a fun time, let me tell you.

Ok, it wasn’t.  A terribly frustrating and unproductive 10 days.  But that is not the point.

The interesting part was this:  apparently, when my business email addresses were down, they generated “undeliverable” auto-replies to emails, newsletters and retailers that tried to send me messages.

And for those few days, the “undeliverable” auto-replies served to unsubscribe me from most of my daily / weekly blog followings and newsletters, as well as retailers and their daily advertisements.

Oops…

Since I send out an email newsletter every week, I understand how this happens.  When I check my statistics for each newsletter, I am prompted by Constant Contact to delete any “undeliverable” email addresses as well.

It was interesting, though.  Once the challenges were resolved, I was so appreciative to return to my normal productivity that it took me a few days to realize WHY my inbox seemed so uncluttered and calm.  For example:

…Actual emails from actual people rose to the top of the list like rich cream to the top of milk.

…I could actively seek out information I DID want without looking at the information I didn’t want.

…Distractions were diminished, and there was just LESS.

 

I DO NOT recommend shutting down your email just to clear out your inbox. With far less drama and frustration than I experienced last year, you can achieve a similarly Calm and Clutter Free InBox with these suggestions:

  • Unsubscribe, unsubscribe, unsubscribe.  This is a favorite suggestion for this time of year.  My friend Jan calls it the gift that keeps on giving.  Let go of subscriptions that no longer appeal to you, remove yourself from retailer mailing lists, or choose to receive fewer emails on the preferences page.  A client is having her teenage daughter help her with this on their regular commute to school.
  • If you have GMail, there is a Promotions Tab that automatically filters out email advertisement and promotions from your general in-box (google or you-tube for directions if you don’t have this yet).  If you are using another email platform, check for this type of option, though unsubscribing may still be the best option.
  • Learn from my most recent (just this past week!) email challenges – what is it about this time of year?  Set up your email addresses with recovery information that get’s texted to your phone or is directed to a different email.  I had these safeguards in place, of course, but when Yahoo switched over to a new business email platform last week, POOF!  those safeguards were gone (all is well again, thank you Customer Service).
  • I occasionally suggest creating an alternative free email address (like gmail) just for subscriptions and retailer messages, but ONLY if you plan to check it at least once in a while.  Some folks use these alternate email addresses for their bill-paying and notifications, but again – ONLY if you will check them regularly.
  • Passwords.  Oi.  This will be a future article just on getting our Passwords under control, like Password Management Apps to track such info.  For Clean Out Your Inbox week, I’ll remind you to keep track of your email passwords and log-in info, and while you don’t have to grant others access, let at least one trusted person know where you keep your info.
  • Don’t use your in-box as a to-do list, a place holder, a keepsake box, or… well… anything other than an in-box.  The term “in-box” leads us to believe there should be an “out” box as well.  Items should come to our in-box, be completed, and then moved OUT of the IN box.

Spend just a little time this week cleaning out your In-Box, and reap the benefits for a long time to come!

Managing Transitions: Work? First 5 Things, Last 5 Things

I’ve been talking with folks a lot lately about their Routines.  We often talk about morning or bedtime routines, to make those times run more smoothly.  But we can also create Get To Work or Leaving Work routines, to make those times run more smoothly, too!

We’ve all had those busy days!  Once you start your work day, you may have a hard time stopping.  So, this week, let’s think about how organize the start and of our work day to stress less and get more done!

I know, this may sound counter-intuitive, but focus on Yourself for the first few minutes you’re at work.  And if that means you also need to arrive a few minutes early, that will be time well spent.

First things first,

  • Grab your cup of coffee or tea, and refill your reusable water bottle.
  • Unpack your work from your work bag (if you carried any with you) and chill your lunch.
  • Hang up your work bag, your coat, your umbrella and whatever else you bring with you every day.  Clip your car keys in the proper spot (in your bag, on your purse, in your pocket) so that you can find them again when it’s time to go!
  • Take a couple of deep breaths.
  • Now, and only now, look at your task list, email or workload for the day.  Pick your three most important tasks and make a space on today’s schedule for progress on those tasks.  Then jump in!

My Message to the Graduates, As We Start a New School Year

This past  May, I had the distinct honor of giving the following commencement speech for a middle school graduation.

“My name is Colleen Klimczak, and I am a School Board member of Evergreen Park Elementary School District 124.

On behalf of our school board and superintendent, I would like to welcome you all.

More importantly, and this is more important, especially tonight, I am also a parent of one of our graduates this evening. My Son is sitting out there, robed in green and probably shaking his head at his mom right now.

Sorry, kiddo. I wish I could say that this is the last time I will embarrass you, but we both know that is probably not the case.

I want to say
Thank You
to all of you here
for coming.
And not just coming to this graduation ceremony.

You see, as a parent – my graduate this evening is my youngest of three – I know all that goes in to getting to this point.

Thank you to our teachers and staff who have instructed and guided our kids along the way. These students have benefited immeasurably from these dedicated, passionate educators.
As a board member, I thank every one of you for your service.

And as a parent, I thank each of you that has had a hand in guiding my son.
These educators arrive early, stay late, they’re in the classrooms and hallways, at extra events on evenings and weekends, they are always available via email. Trust me, I know.
And they truly have our students’ best interests in mind. We are so fortunate, and I am so grateful.

Thank you, parents. And grandparents and aunts and uncles and all those folks who also show up.
Every.
Day.

I’m not even going to finish the equation, of number of mornings multiplied by number of school years so far! Lunches packed, backpacks, homework, gym uniforms, sport uniforms, band instruments, car pools, field trips, forms completed. Then there are the games and concerts and events that we are seriously SO happy to attend. A shout out to John’s grandparents who are here, and who have showed up to EVERYTHING for my three boys over the years.

Students – yes, tonight is about you, but some time this evening, please stop and look your parents and grandparents and significant adults in the eyes and thank them for helping you get to this occasion. They love you so much, trust me.

And now, Students!

All of you here may not know this, but this an amazing group of young people.
I have known some of them since kindergarten, and even before that.
I’ve been so blessed to spend time with some of them over the years, and watch them all grow. They are smart, funny, engaged and curious, civic minded and involved.

Students, I have three things to ask of you this evening.

First, Do the right thing, even when no one is watching.
Don’t bother with easy, or just skating by, just because you think no one will notice.

YOU will notice.

And once you know you can count on yourself to do the right thing, your confidence and capacity for doing the right thing will grow.

Perhaps you’ll find yourself in a situation and you’re not sure what the right thing to do is?

Go with kindness. Justice. Fairness. Thinking and thoughtfulness. Those are always going to be the right thing. And the Right Thing might not be what everyone else is doing, but that’s ok, they are just waiting for you to set an example.

Second, Find your people.
Look around, and see the people that are doing what you want to do, what you aspire to do.

Surround yourself with good people who will lift you up, build you up.  Who aren’t about drama, who are also the ones doing the right thing even when no one is looking.

Find and appreciate those people, and
more importantly, strive to be that best person for others.

Finally, Start and end with gratitude.
Be grateful for your natural born talents and your diligently honed skills.
Be grateful for your family who loves you, for the education you are working for, for your friends and our community.

Imagine, remembering just one thing you’re grateful for as you start and finish your day every day.  Imagine how great that would feel, and how much that small habit would positively impact your life.

So:
Do the Right Thing; 
Find Your People; 
And Start and End with Gratitude.

I’m going to take my own advice here, and say thank you, Central Middle School class of 2018, for letting me get to know you. I can’t wait to see what each of you will continue to achieve in big and small ways, in the years to come. Congratulations and Well Done!

Any Day – EVERY DAY – Is A Good Day to Start Fresh

It’s a new week.  A new month.  For some, it’s a new fiscal year.  It’s the second half of the calendar year.  It’s a holiday week.  It’s a Tuesday.

Some of you may say, “Whatever, Coll.  It’s a Tuesday.  What’s your point?”

My point is… well, I guess I have a couple of points.

First, time is completely arbitrary.   It’s all relative.  

I know, that is a weighty statement.  But, weighty or not, it’s true.  Time is a human construct, a way of conceptualizing the phenomenon of Time Passing.  Even though I coach lots of people in Time Management, I am still the first to say that Time is arbitrary.

However, and here is the real point of today’s post, Any Day – EVERY DAY – is a good day to start fresh.

We’ve had a busy few months.  I’ve mentioned the two graduations and accompanying round of award banquets / events / concerts / ceremonies / parties.  We’ve also had a health challenge or 2 (everyone is fine), some work and service challenges, and everything in between.  And it’s all good, and we’re doing fine.

Everything I mentioned has required mental and physical energy, and I have been glad to spend both!  But this week, after a big event this past weekend, I am feeling a shift in my focus.  I must admit, yesterday I was just feeling a lack of focus :), but today  – I am looking forward with a new vision.

I am feeling motivated to mentally clear clutter and make plans to move forward in a number of areas, and I invite you all to do the same!

Accept that time moves, and moves quickly, whether we want it to or not.

I was chatting with a friend yesterday, her oldest son and my youngest son are both heading to high school in the Fall.  I was talking about the boys preparing for college, and then apologized for rushing, to which she wisely replied “It’s 4 years, we have to think that way.  Just yesterday, they were in 5th grade”, and it really does feel that way.

Take a few moments to appreciate where you have been.

One of my favorite exercises around Time Management and Productivity is writing my Done List.  Mine is typically a day or week at a time, but imagine what your list of major accomplishments in life so far would be!

Appreciate all the moments that lead you to this place in this time today.  Be grateful for the good, forgive the bad, and learn from both.

Next, take stock of where you are today.  How are you doing?  What is awesome, and what could be a little better?

Today (and this week, this month, this season) is a new opportunity to make positive change.  What will you do with your opportunity? 

A new idea occurred to me the other day, to change our shopping habits to save time and money.  EXCEPT… that is not actually a new idea.  It’s a goal I stated wayyyyy back in January (and probably last year), but I think it’s time to create a plan and task list and deadline for it, and make some progress in that area.

Same thing for my personal wellness.  Good habits slip sometimes when life is especially crazy, so this week, I am also re-committing to some neglected wellness goals.

These are just a couple of examples from my own mind.  What will yours look like?  What do you want to do with your time, arbitrary or not?  Today is the Day!  Any Day – EVERY DAY – is a good day to start fresh!  Got get ’em!

Real and Imperfect, That’s Me! But Continually Improving!

A reader shared the following with me last week:

“… Even though you are a professional and experienced organizer, I love the way you admit your own struggles and challenges. It’s not like you try to paint yourself as this perfect person who has it all together all the time. There are so many ‘gurus’ out there who speak in a way which tends to cause the average person to feel like they could never live up to their standards. You, on the other hand, are very relatable. So, thanks for that.” – T.

Wow. Just Wow.  This review means a lot to me.

T. – thank you and you’re welcome. And trust me, I am as real and imperfect as everyone else!  I am always organized, though.  And I am always looking for ways to improve.  To improve me, improve my situation, improve the lives of those around me.  And I would suggest that you can, too.

The following phrase keeps coming up, as recently as this week’s coaching call with my accountability partner Jan!   “What is the learning here?” or “What  did we learn from this?”

Last week’s article focused on how I identified a challenge I was having and some steps I took to improve the situation. And that is what I want for all of you (and me).  Continuous improvement.

It’s important for all of us to keep improving. We all are real and imperfect, beautiful and flawed and divinely created.  And we all are capable of growth until the moment we stop breathing.   The 90+ year old retired priest at my parish says “If you can’t find anything in yourself that needs to change, you’re not looking hard enough”.  This, from a century of living.

My clients often call me in the midst of overwhelm or chaos.  But they still call me.  They make the conscious decision to make things better.  They have assessed their situation, at home or at work, and have realized that getting life organized will improve the situation.

This week, I celebrate my 400th blog post and my 15th anniversary in business.  Yet, there is so much more to do! So many more ideas to be explored!  So many areas I can still improve upon!

To continually improve, we need to be aware of our self and of our current situation.  Sometimes that means we have to step back a bit and look at the big picture.

We need to objectively look around.

We assess our situation, and identify opportunities for improvement.

We use our creativity and imagination in coming up with solutions, or we ask for help from friends or experts.

Once we find solutions, we commit and dedicate resources (like time, energy, money and space) to the solutions.

We maintain the solutions, all the while being aware of our selves and our situation, and possibly starting the process over and over and over again.

We can be real and imperfect, but still improve every moment and every day.  I look forward to my next 15 years in business, and my next 400 blog posts.  I look forward to all the different ways I can improve our world and how I can help you to do the same.  Thanks for being with me on this journey.

It’s Time to Prune Time Clutter. Less Really is More.

Thanks for the feedback regarding my article a few weeks ago, “I’m Not a Gardener, But I Know How to Prune”.  It seems the imagery resonated with many of you.  This topic was always intended as a two-part post because we can’t address physical clutter without talking about Time Clutter.  We can prune away unproductive time practices just like pruning away unproductive clutter!

Do you ever feel like you’ve got a million things to do today and you’re scrambling to just get something done?  Yep, me too.

About a month ago, I started to prune my To Do list.  It had become a dumping ground and, even though I really love my list, that habit was NOT serving me well!  I had unrealistic expectations of myself and my time, and I set myself up to fail daily by leaving too many tasks on my daily list.  Failure feels rotten, as does scrambling and stressing to complete tasks.

I added the following to the top of every day’s To Do list:

“TASKS MUST BE ACTIONS: Review; Prioritize; Allot time; Emails / Calls – 5 minutes or less; Actually schedule; Make June list.”

So, what does this mantra mean?

“Tasks Must Be Actions:”  My To Do list holds a lot of information, but only actionable steps or errands.  I keep ideas elsewhere.  “Change The World” is a great idea, but it’s not helpful on the To-Do list.  Only actions are permitted – “Send graduation announcements”, “call the chiropractor”, etc.

“Review”: Multiple times every day, I review my schedule for the day (and maybe week) and my To Do list.  If I have a full day of clients and appointments, I cannot reasonably expect to complete 20 tasks or run 10 errands.  If I happen to find a couple of hours free, though, I can fill that time with productive tasks.   “Review” means I have a clear idea of what my day may hold.

“Prioritize”:  We all know that not all tasks are created equal, especially when it comes to productivity. A strength of my To Do list is that I list EVERYTHING that needs done – today and tomorrow, next week and next month.  All these tasks are important, but they don’t all need to be done RIGHT NOW.  I set my tasks for the day based on the urgency of the task and the time available today.  And tasks that aren’t a high priority for today are assigned to another day.

“Allot Time”: How long do tasks really take?  This is very important information for us to have!  For example, “text client to confirm appointment” takes 30 seconds, while “Write blog and newsletter” usually takes a couple of hours.  Yet they are listed on today’s list one after the other.  Allotting time for tasks lets us know what we can fit in the time we have.  Daily, I look at my task list and assign 5 / 10 / 20 / 30 or 60 minute time allotments to each Errands or Task.  If I allow too much time, I’ll have some wiggle room.  If I don’t allow enough, I’ll have to wait to complete other tasks until later (which is why prioritizing is SOOO important!)

“Emails / Calls – 5 minutes or less”:  I was stopped by a train this morning.  In the few minutes I waited, I checked my To Do list and made two phone calls.   Very often, I will tackle 5-minute tasks first, just to see how many I can check off!  And I only give them 5 minutes!  So I try to be clear and succinct in my phone calls and my emails!

“Actually Schedule”:  These past few weeks, I’ve been more specific about actually scheduling tasks.  Meaning, I’ll spot a clear 30 minutes on my schedule between clients and plan 6 5-minute tasks for that time.  Or a couple of 10 minute tasks.  Just one more way to make my To Do list work for me!

Finally, the “June List”: Or July, or Autumn or next year.  I have lots of tasks I want to complete and goals I want to reach, though some of those don’t need to be completed any time soon.  I keep the Task or Errands, but I assign in to a day far in the future.  Yes, I have a September list already, with a couple of house projects I want to tackle then.

We all have time and productivity clutter we can prune.  Look closely at your tasks and time this week, and see where you, too, can cut away the unproductive branches to help you grow!

National procrastination week (No, you don’t get to procrastinate)

Did you know? The first full week of March is National Procrastination Week, supposedly an entire week dedicated to putting things off.   

Um… you know that is NOT what I’m going to recommend, right?  Instead, let’s look at how to get things done, even when the path is difficult!

I am a solo entrepreneur, which is a fancy term for a small-business owner who does EVERYTHING.  In the midst of delivering organizing services, coaching and offering presentations, I also need to plan and grow my business for the long term with new ideas and products.

 Lately, I’ve been wrapping my head around a remarkably daunting project (hosting webinars), and last week, I mentioned to a fellow business owner that if I was an employee in charge of this particular project, I would have fired me by now!

Sometimes, we just need to do what needs done!  Can you relate?  Either professionally or personally?   Got a project you’ve been dragging your feet about?

If you’re procrastinating, it’s time to figure out what exactly the problem is.  You need to do something, but:

You… Don’t know how.

  • Call in your experts.  Years ago, I spent time and energy worrying if I should become an LLC or an S or C Corporation.  What a waste of time.  I didn’t need to figure out, I just need to contact a trusted friend, my attorney Eileen Kerlin Walsh. She knew exactly what I needed and made it happen with a minimum of fuss.  The same strategy worked when I needed to update my website.  I didn’t need to learn how to build a new one, I called my expert, my webdesigner Claire at Aplify7,  and she made me look great with no hassle!
  • You don’t need to know everything, you just need to reach out.

You… Worry about the cost, monetary or otherwise, of working on a project.

  • Is this project worthwhile?  Explain out loud why you need to do this thing or meet this goal,  and perhaps that will help motivate you to act.
  • Sometimes action costs money or time or other resources, true.  But if you’re procrastinating around a business venture, or health care issue that you can’t seem to make the appointment for, or house repair that you’ve been avoiding, the better question is “Can you afford to NOT do this?”
  • While I wrote this, a friend reached out to me about trademark and copyright laws for protecting their business brand.  I don’t know the answers, so I asked my experts and of course, they stepped up! But this was a great example for weighing the potential high price of working with a knowledgeable attorney vs. the even higher cost of NOT acting and having your brand damaged.

You … Don’t want to, it may be uncomfortable.

  • Have you ever noticed?  We spend far more time dreading the unknown task than it usually takes to complete it.  I missed an article deadline recently for another publication, and I dreaded (and avoided) for days fessing up and letting the publisher down.  And they were kind and not bothered at all.  I spent far more time being uncomfortable about NOT doing something than actually doing something about it. Seems rather silly now.
  • Know yourself. We like to be comfortable, right?  So agree to be just A LITTLE uncomfortable, try just a small new thing, in the interest of progress.  Once you try something, it’s not new anymore.

You… Don’t want to start when there isn’t time to finish. 

  • Do you hear yourself when you say these things?  We tell ourselves we only want the finished project, but we never start?  That, my friend, is what we call a Contradiction.
  • Set a timer, focus on time dedicated and not completion of the task.  Some progress towards a goal is still progress, even if you don’t complete the project this time.
  • Acknowledge that Perfectionism and Procrastination often go hand in hand, and may be working against the actual completion of your project.

You… Don’t know how long it will take.

  • Yup, this one terrifies me. For example, I procrastinate about making phone calls.  Not logical or wise, I know. But my very real fear is getting stuck on the phone and not knowing how long the call may last.  But I can decide how much time to dedicate to a task.  Even if I won’t complete the task, I can still start.

You… Are just not feeling it right now.  

  • We’ve all been there.
  • Long ago, a client said she was waiting to wake up one morning and be suddenly motivated to exercise, keep her house clean, get a job, etc. And because she was paying me to, I asked the tough question “Has that EVER actually happened?”  And the answer was… uh, no.  So, we fake it until we make it.
  • Intentionally procrastinate for a few (JUST A FEW!)  minutes.  Set a 10 minute timer, step back, change your scenery, get up and grab a cup of coffee or tea.  Then get back to work!
 Rest assured, I am saying these things to ME right now, too!  Observe National Procrastination Week by actually getting over some procrastination!

Create Productive Work-From-Home Space: National Clean Off Your Desk Day

Last week, I heard from a newly minted college graduate.  She is very excited to start her first  professional position with a national company, working from home.

Hmmm… “Working From Home”.   A quick glance at wikipedia revealed related terms like “telecommuting”, “remote work” or “teleworking”.  This is a growing trend, with many of us working at least some of the time from non-traditional work space.

According to this recent New York Times article,  “More American employees are working remotely, and they are doing so for longer periods… Last year, 43 percent of employed Americans said they spent at least some time working remotely, according to the survey of more than 15,000 adults.”

With this conversation in mind and National Clean Off Your Desk Day (second Monday of January) here again, let’s talk about Organizing Your Work Space for Working-From-Home.  Let’s look at solutions to common Work-From-Home Challenges!

Be Professional and Productive While Working From Home

There are habits we can create to feel professional and productive, no matter where we work.

  • Create a morning routine – get up, work out, eat a healthy breakfast, get clean, etc. – even if your commute is the 10 feet between your living room and office.

  • We all benefit from the clear definition of a start and end to our work day.  If you need separation in your day between personal time and work, go for a run, for Mass, for coffee, or to drop off the kids at school.  Then, come home and boot up!
  • Dress professionally, even if you don’t see another person all day.  No PJs for productivity!
  • We need to minimize distractions (more on this later) working from home, but the opposite is also true.  Remember to walk around and take breaks!

Stay Connected:

  • A common challenge of working from home is feeling isolated.  Remember, Community comes in many forms.
  • Check with your company!  If your company has teleworking opportunities, they probably also have strategies in place to help employees stay connected.
  • Find a mentor or accountability partner within your company.   You can also ask the professional association attached to your industry, or even just someone you really respect.
  • Join networking or FB groups within your chosen field or geographical community. My FB and networking groups are amazing resources for me as I navigate my day!

Physical Workspace:

  • If you are clear on the Work of your Work, you can probably work from anywhere!
  • No one needs to know where you work!  Some days saying “working from home” doesn’t feel professional, so I might say I’m working “remotely” or “virtually”, whether I’m at a client’s office, my own home office or Starbucks!
  • Your Actual Work Space:
    • If you skype, or have video conference calls, invest in a back drop or standing screen that looks more professional than your family room or basement!
    • Organize your work space, especially if you need to switch from student focus to work focus, like my young friend.  A clean desk helps you focus.  My accountability partner mentioned just last week how much more creative she feels when her work space is organized and clutter free.
  • Need Professional Space for a change of pace or a group project?  Perhaps your team is coming into town for training?  Many communities have available shared professional spaces or  business centers.  For a fee, these centers may offer work spaces, office services such as copiers or fax machines, conference rooms to rent by the hour or day, and even administrative help.   For example, I am a member of BAPA here on the South Side of Chicago, and their business center offers office equipment and conference room space free to paid members.

The “Home” part of Working-From-Home

  • Be clear with your house-mates what your tele-working will mean.  You may be home but still on the clock!  (The same goes for pets – one client closes the door and curtains to the back yard, to signal to her faithful furry companions that play time is over!)
  • A closed door can be an arranged signal that quiet time is needed, or that a conference call is in progress!
